PURPOSE OF THE JOB

To receive all visitors to the company and direct them to the appropriate individuals within the organisation.
To operate the company’s automatic switchboard.
KEY RESPONSIBLITIES AND ACCOUNTABILITIES

Ensure efficient operation of the company switchboard and telephony system.
Welcome and attend to all visitors to the company in a professional manner.
Accurate message taking and forwarding to relevant employees.
Co-ordination of maintenance of switchboard and extensions, and external telephone lines relating to the switchboard.
Operation of reception fax machine and distribution of incoming faxes on a daily basis.
Sorting and distribution of company mail.
Receiving and recording of cheques.
Assistance with Local Travel bookings and co-ordination.
Ordering and distributing of company stationery.
Maintaining telephone management system and printing and filing report weekly.
Maintaining Access Control system and printing and filing report weekly.
Abide by the Authority Levels document.
Professionalism and projection of a proper image of the company at all times.
Adherence to Yokogawa Quality Management procedures
Abide by the company’s health and safety policy by ensuring the following:
Must execute work in such a way so as to not endanger himself/herself or others.
Must inform himself/herself about Health and Safety instructions and procedures and participate in organised training.
Must take care of optimal working conditions by using equipment in the correct manner and in accordance with instructions.
Must alert noticed dangers to the managerial staff.
Respond positively to any other reasonable request pertaining to the job.
PERSON SPECIFICATION

Reliable
Well-spoken and well-groomed and appropriately dressed
Able to work quickly and accurately
Good communication skills
Ability to be helpful to customers and staff in an efficient manner
EDUCATION TRAINING AND QUALIFICATIONS

Essential :

Grade 12
Switchboard skills
Front Office Skills
Desirable :

Basic Book-keeping skills
Microsoft Office skills
